Building a Turnkey Team & Finding the Right Office in Poland

In the spring of this year, Zemingo approached InfinIT and Unitask Group’s internal recruitment team with two key requests:

  1. Recruiting specialists for the new Polish division.
  2. Finding and setting up an office space in Warsaw.

The client had specific hiring criteria – seeking experts with a unique mix of hard and soft skills aligned with the company’s values. The required roles included developers, testers, designers, department heads, and managers.

Regarding office space, speed was critical. The client aimed to establish the new office as quickly as possible and start operations without delays. This involved multiple complex tasks:

  • Procuring office equipment
  • Negotiating contracts with developers and service providers
  • Ensuring legal and compliance alignment\
  • Managing office setup logistics

We began with accelerated recruitment, identifying top candidates that met the client’s technical and cultural fit requirements. Our process included:

Office selection was another critical challenge. InfinIT managed all negotiations with business centers, securing the most favorable lease terms while ensuring a hybrid work-friendly environment.

Together with the client, we identified the best office space, negotiated terms with the landlord, and managed the entire contracting and relocation process. InfinIT handled lease review, legal verification, financial transactions, and logistics.

Recruitment was a massive undertaking. With the expertise of Unitask Group’s recruiters, we managed to hire 30 specialists within just four months.

  • May: The hiring process began.
  • August: The core team was fully operational in Warsaw.

350+ candidate interviews were conducted. Each applicant went through a two-stage selection process, including:

  • Initial screening & technical interviews

  • Client-requested test assignments for final selection.

Handling varied employment forms was another challenge. We developed a flexible hiring model that met the interests of both Zemingo and its employees. Contracts were structured based on Polish labor law to accommodate diverse employment needs, including:

  • Students – Optimized tax arrangements for cost efficiency.
  • Freelancers & specialists with specific tax obligations – Custom contract structures ensuring compliance and financial viability.
  • Employees from 6-7 different countries – Tailored legal frameworks to align with residency & taxation rules.

Recognizing the complex legal and payroll landscape, we introduced our AOR (Agent of Records) service, covering full contract management, legal responsibility transfer, payroll processing & monthly payouts, as well as comprehensive reporting & documentation.
